Opportunity at a Glance

As part of the Academic Operations Team, the primary responsibilities of the Manager are to provide overall leadership and management to the administrative teams that are needed to support the curriculum.  This may include, but is not limited to:  Simulation Center, Testing Center, Academic Coordinators and/or other admin support positions for the Campus. 


Success in this role will be centered on the delivery of service excellence in meeting the administrative needs of academic operations departments. This position reports directly to the Associate Dean, Curriculum and indirectly to the Associate Dean, Academic Affairs, or other designees.  This role will act as a liaison in accepting and delivering on assignments received.
 
The goal of the Manager is to provide exemplary service and support consistent with the TEACH values, focusing primarily on process improvement and resolving issues accurately, timely and professionally as an individual contributor and as manager for the team. 

Responsibilities

Academic and Administrative Team:

  • Work with and direct the day-to-day activities of the academic support teams which includes organizing activities and workflow to maximize productivity including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing just in time feedback on those assignments.
  • Coordinate the scheduling of curricular activities including session scheduling of modules and courses, simulation and testing activities.
  • Supervise the academic/support teams through semester activities and processes. This may include, but is not limited to, oversight of student activities for exams, simulation scripts, and standardized patient activities.
  • Update all the relevant Standard Operating Procedures (SOPs) and policies as necessary.
  • Ensure the standards are maintained across all modules and courses on the various learning management system (LMS) platforms.
  • Act as the liaison for Chairs/Semester Leads and Module/Course Director to complete module and course-specific projects and student learning activities. Work with the IT, Curriculum and Academic Affairs teams to complete the end of the semester and beginning of the semester processes, exams, evaluations and schedules
  • Coordinate and review the scheduling of all modules and courses for feasibility and alignment during the semester.
  • Maintain, develop and implement procedures that enhance the performance of direct reports and promote improved customer service.
  • Coordinate with the Associate Dean, Curriculum, Academic Affairs and semester leads/chairs to establish priorities and identify and resolve problems that are academic in nature.
  • Develop, facilitate and implement training programs in support of the Campus for direct reports on areas such as, purchase order process, scheduling, academic applications, managing outside resources (on-call SP and proctors) and exam protocols.
  • Provide coaching and mentoring to direct reports regarding performance through regular meetings, performance reviews and annual evaluations.
  • Manage performance expectations, including disciplinary measures that may be needed in coordination with HR and other stakeholders.
  • Monitor and approve work schedules and time away requests for the team, which includes having a general understanding of our handbooks, HR?? manual and St. Maarten laws.
  • Coordinate the onboarding of new staff to ensure a warm welcome for new colleagues. This may include, but is not limited to, acting as coordinator with Hiring Managers to ensure equipment and office locations have been secured, as well as a review of work rules, policies and procedures, such as the use of Replicon and Expensewire,
  • Participate in the hiring process for academic support teams, including on-call workforce.
  • Function as a culture champion, sharing the TEACH values to new colleagues as well as promoting the AUC Culture of Care.
  • Participate in the planning and execution of University events such as White Coat, Celebration of Excellence, Research symposium, faculty development, colleague meetings or other ad hoc events requiring support.
  • Liaise with the accounting and human resources teams on the Event Planning budget availability, prepare the Event Team budget and assist in budget implementation; participate in the forecast of funds needed for various activities.
  • Completes other duties as assigned.

Qualifications

  • A minimum of three years of customer service required, including demonstrated experience in resolving customer services issues.
  • A Bachelor’s degree, ideally in the area of management or administration, Master’s degree preferred.
  • Three years of supervisory/management experience with a minimum of three direct reports.
  • Excellent verbal and written communication skills required.
  • Must have excellent customer service, organizational and problem-solving skills.
  • Ability to understand business objectives and impact on AUC’s overall success.
  • Must be self-motivated, comfortable with change and able to shift focus and direction quickly and efficiently.
  • Ability to work cooperatively with others.
  • Knowledge of Microsoft Office Suite required.
